In detail

What the firm keeps on the file.

Case board

One card is one case. A new workspace opens on a board named for the firm, with columns for an ordinary civil or criminal case: Intake, Filed, Hearing, For Decision, and Closed.

Drag a card when the case moves. Teammates see the move on the same board. The number on a column is how many cases sit in it. A card shows the person handling the case, and how soon the next deadline or hearing falls: green when it is more than a week away, yellow this week, and red within a day.

You can add columns for the way the office already works, and reorder them. The five starting columns stay. Free and Starter include one board. Advance includes five, so a firm can keep a separate board for another practice group.

Clients

A client is the person or organization you represent. Add the client before the case. The record holds the name, email, phone, and address, and the cases that belong to that client stay together.

The client list is searchable by name, email, or phone. On the case, the client's name and contact details sit beside the court and the next hearing, so the file is one record.

Hearings

Hearings live on the case. DocketPH labels them the way a Philippine court calendar does: pretrial, court-annexed mediation, judicial dispute resolution, arraignment, trial, formal offer of evidence, promulgation, and any other hearing.

The next hearing shows on the card and in the case details, with the branch and the court. Each case holds one next hearing and one next deadline. When a notice of hearing arrives, log the order and the case's next hearing updates. You enter the date.

Documents

Files stay on the case, grouped the way a folder already is: Client Docs, Opposing, Court / Judge, and Firm. A pleading, a notice, an exhibit, and a draft the office prepared each have a place on that case.

Each person has their own storage on the plan. Owners and admins can see how much each person is using.

Collaborate

Partners, associates, and staff share the board, the files, and the comments on the case. A comment is a note for the team on that case. Type @ and a name to mention someone, and that person gets the note in their notifications.

Assign the case to the lawyer or staff handling it. The assignee shows on the card. Filter the board to one person, to your own cases, or to cases no one has taken yet.

History

A history of every change to the case: who changed it and when. A move on the board, an edit to the case details, files added or removed, a logged court order, an archive, and a restore are all part of the record.

The history stays with the case, so a colleague who opens it later can see how it reached the column it is in.

Suggested deadlines

When the court sends an order, open the case and log it. Choose the kind of paper and the date the office received it. DocketPH shows the Legal last day and an Office target from your firm's deadline rules. It also reminds you to Check holidays. Confirm the order and the rule that applies.

The presets follow common periods in Philippine practice, including an answer to a summons (30 days, Rule 11), an answer to a counterclaim (20 days, Rule 11), a notice of appeal (15 days, Rule 41), a motion for reconsideration (15 days, Rule 37), a petition for certiorari (60 days, Rule 65), a pre-trial brief (3 days before pre-trial, Rule 18), and an NLRC appeal (10 days). Court-annexed mediation and judicial dispute resolution have watch periods as well.

Days is the count from the rule. Allowance is extra days the office keeps, so the Office target falls before the Legal last day. An owner or admin can edit those numbers or turn a rule off. DocketPH skips weekends and reminds you to check holidays. It does not yet know court holidays or work suspensions.

Reminders

8 AM every morning, in the app and by email, for your cases. DocketPH counts the cases assigned to you that fall due and the hearings for the day. You see that count in your notifications and by email.

By default, a deadline is mentioned on the due date and seven days before. A hearing is mentioned on the day and three days before. Each person can turn a channel off or add another day, up to 90 days ahead.

Calendar

See your hearings and deadlines on a calendar. The calendar shows a month view and a list for the selected day. It shows cases assigned to you, one next hearing and one next deadline per case.

Practice types

A case carries a practice type from the list Philippine firms already use: civil, criminal, special proceedings, family, labor, corporate, real estate, tax, administrative, immigration, intellectual property, election, agrarian, environmental, maritime, banking and finance, insurance, construction, data privacy, and alternative dispute resolution.

The type is on the card and is a filter on the board, so a labor practice and a family practice can share one workspace and still be read apart.

The firm and roles

A workspace is the firm. The owner and admins set the firm name and logo, invite people, change roles, edit deadline rules, and open billing and usage. Staff and members work the cases: clients, cases, documents, and court orders.

An invitation goes out by email. A pending invite can be resent or revoked. A person's role can change later. The owner role stays with the person who opened the workspace.

Archive and delete

Archive takes a case off the board when you might open it again. It is still in the workspace. Open the board menu, choose Archived, and restore it when the file is active again.

Delete keeps the case under Deleted for 30 days. Until then it can be restored. After 30 days it is removed. On the Free plan, archived and deleted cases do not count toward the 10 open cases.
